Things to check BEFORE Deleting Email Address

Email addresses are used throughout Fortix as identification and communicating means.

Therefore it is important to check the main areas of your system to ensure the email address is no longer being used.

Areas to check is the Email Log for system process and notification emails generated by the system, as well as Work Request and Projects. Lastly, we recommend Archiving the user and then deleting the email address.

The Email Log in Fortix displays all the information about the email that was sent. It represents emails that actually left the Fortix system and was not blocked. The Email Log displays the system process, Notification process and what part of the Fortix system were used to send the email.

This article explains how to view the Email log and Work Requests to check if the email address is being used.

Click E-mail Setup in the sub Heading under COMMUNICATION. The E-mail Setup page opens with a list of EMAIL ACCOUNTS that have been created.

Check Email Log

Click E-mail Log in the sub Heading under COMMUNICATION. The E-mail Log page opens with a list of emails that have been generated.

The address bar link is: /?email_logs

The Email Log list view opens with a list of email that was sent. the list can be sorted by clicking on the column heading. Search both in the SENDER and RECIPIENT columns for the email address. Check the processes that generated the emails and see if any adjustments are needed.

To further interrogate click the down arrow in the Action tab. To view the message that was sent, select Original Message Preview.

The preview form opens. Click the More Menu to Forward or Print the message.

Sorting on the PROCESS column, all the processes within the Fortix system that triggered the email being sent is displayed.

Sorting on the NOTIFICATION column, all the Notification processes within the Fortix system that triggered the email being sent is displayed. Any of the underlined data can be clicked on to access the record directly.

Work Request Completed

Emails are used in communicating with users with regards to Work Request updates. Ensure that the user who's email address needs to be deleted has no active outstanding Work Requests.

Archive User

Navigate to the Users page.

The address bar link is: /?users

In the Users page sort the COMPANY USER column to show "Yes".

Find the user who's email address needs to be deleted. Click the Action down arrow and select Edit User Details.

On the EDIT USER DETAILS page, scroll down and click "Yes" to Archive User. Click SAVE.

Delete Email Address

Click E-mail Setup in the sub Heading under COMMUNICATION. The E-mail Setup page opens with a list of EMAIL ACCOUNTS that have been created. Find the email address that has to be deleted. Click Delete.

Confirm the Delete request.
