New User Configuration for Xero Timesheets

This article explains how to add a New User and ensure that the Xero timesheet is populated  in Fortix.

Click the Setup Menu Icon and find and Click Default Options. 

Click on the Internal Customer.

The Contacts form open with a list of CONTACT PERSONS on the right side of the page. Click the plus sign to Add a New Person.

Complete the ADD NEW CONTACT PERSONS form with the relevant data.

Click SAVE to commit the record to the system

Navigate to the Users list vew page and find the New User by using the Filter in the Name column. Click the down arrow in the Action Tab and select Edit User Details.

The EDIT USER form opens. Complete the necessary fields.

Ensure that the correct fields like Payroll Calendar and Rate have been populated in Xero and that the connection has been setup.

Scroll down and find the Rate section. Click the down-arrow in the Payroll Calendar field and select the correct payroll calendar.

This is data is populated by the Xero entries.

Enable Timesheets Synchronization should be Yes.

Click the down-arrow in the Rate field which is the rate within Fortix.

Click the down-arrow in the Xero Rate field and select the correct rate from the Xero system.

This is data is populated by the Xero entries.

Click Force Password Change by User (next login) for security.

A New password can be chosen or generated by clicking the padlock icon.

Click GENERATE for a system-generated password. Click the copy Icon to copy this password to the clipboard. Then click the USE PASSWORD tab.

Set required Notifications and Authentication Roles and click SAVE to commit changes to the system.

The New User can now be seen in the list of USERS.

In order to synchronize this new contact/user into Xero the new user needs to have an activity recorded. This user must be assigned to a project and have a Work Request assigned.

Navigate to the Activities page and click Add New.

Select the correct Work Request and click Record Time.

Complete the RECORD ACTIVITY form with the correct details.

Click SAVE to continue.

Once the activity is enqueued into Xero Queue the system will check if such user exists in Xero prior to synchronising the activity, if such user does not exist in Xero the system will create the new contact/user in Xero and after that pushes the activity for this user to Xero.
